Access and Usage Regulations for Elon’s Gear Room

Introduction
The Elon UniversityGear Room is designed to provide students, faculty, and staff with access to advanced camera, lighting, and audio equipment for academic and creative projects. The Gear Room is a resource tailored to enhance the educational experience at Elon and facilitate the creation of media content. Use of theGear Room is governed by specific regulations and guidelines to ensure its proper use, maintenance, and cleanliness.

eligibility

To use the Gear Room, individuals must be currently enrolled students at Elon University and must have a valid Phoenix card. Faculty, staff, and affiliates with a legitimate need for equipment may also be granted access. Access to theGear Room may be contingent upon approval by the Department of Communication.

Reservations and Loan Periods

  • Reservations: Reservations for equipment must be made online through the WebCheckout system. Reservations can be for a maximum of 24 hours. Failure to pick up equipment within 30 minutes of the reservation start time may result in the reservation being canceled and the equipment becoming available to others.
  • loan period: The default loan period for equipment is twenty-four (24) hours. Renewals are now self-service and use the WebCheckout Patron Portal. You may request up to 2 renewals for 24 hours each.

Return of Equipment

  • All equipment checked out must be returned by the due date and time. Late fees will be assessed for any equipment returned after its due date at a rate of $10 for each occurrence.
  • Equipment that is not picked up within 30 minutes of the reservation start time will be canceled, and the equipment becomes available to other patrons.
  • If equipment is returned late, broken, or lost, patrons will be held financially responsible for the replacement cost of the equipment, plus any additional expenses, including warranty, shipping and handling, and accessories.

Cleaning and Maintenance

  • The Gear Room is maintained in a clean and sanitary condition. Users are expected to maintain their own equipment and keep it free of dust and debris.
  • Equipment that is not properly cleaned and handled may be discarded and replaced.

Special Conditions

  • TheGear Room reserves the right to inspect equipment before and after usage.
  • Elon University reserves the right to limit access to theGear Room to ensure fair and equitable use by all users.
  • Use of any equipment in theGear Room may be terminated immediately for any violation of these regulations.
